This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, complete our grant intake form, engage our services, or interact with us in other ways. By using our site and services, you agree to this Policy.

1) Information We Collect

a) Information you provide

  • Contact & identifiers: name, title, email, phone, organization, address, website.

  • Professional & project info: mission, program descriptions, target populations, budgets, timelines, partnerships, prior grant history, evaluation data.

  • Uploads: proposals, strategic plans, budgets, letters of support (may contain personal information about staff/partners/participants provided by you).

  • Billing: invoicing details; limited payment information processed by our payment provider (we don’t store full card numbers).

b) Information collected automatically

  • Technical data: IP address, device/browser type, pages visited, timestamps, referring URLs.

  • Cookies & similar tech: to operate the site, remember preferences, and (if enabled) analyze traffic.

c) Sensitive information

We do not seek health, biometric, or other sensitive personal data. If such data may appear in materials you upload (e.g., participant data), you must ensure you have lawful authority to share it with us.

2) How We Use Information

  • Grant consulting: evaluate eligibility, match opportunities, design proposals, budgets, logic models, evaluation plans, and manage submissions.

  • Client communication: respond to inquiries, schedule calls, send updates, share deliverables.

  • Contract administration & billing: proposals, statements of work, invoicing, accounting, and tax compliance.

  • Quality & security: internal reviews, audits, troubleshooting, preventing fraud/abuse.

  • Legal compliance: fulfilling legal obligations and responding to lawful requests.

  • Marketing: with your consent, send newsletters or case studies (we anonymize unless you authorize attribution).

Legal bases (EU/UK visitors): performance of a contract, legitimate interests (service improvement/security), consent (where required), and legal obligations.

    • CRM/PM tools (e.g., Airtable/HubSpot/Asana)

    • Analytics (e.g., Google Analytics)

  • Partners/consortia (with your authorization) for multi-party proposals (e.g., employers, schools, workforce boards).

  • Legal & safety: to comply with law, enforce agreements, or protect rights and security.

  • Business transfers: in a merger, acquisition, financing, or similar event.

We require service providers to protect information and use it only for our instructions.

5) Data Retention

  • Client engagement records: typically retained for 7 years for business, audit, and legal purposes (or as required by funders).

  • Prospect inquiries: up to 24 months after last interaction.

  • Marketing consents: until you withdraw consent.

    We may anonymize data and retain aggregates indefinitely.

6) Security

We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit (HTTPS), least-privilege internal access, and vendor due diligence. No system is 100% secure; please share only necessary information and avoid sending sensitive personal data unless required for the engagement.

Access, correction, deletion

Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing, and to portability of your data. Submit requests to [help@careervistagrants.com].

California (CPRA)

California residents have rights to know, delete, correct, opt out of sale/share, and limit use of sensitive data. We do not sell or share personal information for cross-context behavioral advertising. To exercise rights: help@careervistagrants.com.

Nevada

Nevada consumers may submit a verified request to opt out of the sale of personal information (we do not sell PI).

EU/UK GDPR

You may withdraw consent (where applicable) and lodge a complaint with a supervisory authority. If we appoint an EU/UK representative or DPO, we will list them here.

We may need to verify your identity and may deny requests where a legal exception applies.

8) Children’s Privacy

Our services and site are not directed to children under 13 (or under 16 in the EU). We do not knowingly collect children’s personal information. If you believe a child provided information, contact us to delete it.

9) International Transfers

We may process data in the United States and other countries where our service providers operate. Where required, we use appropriate safeguards (e.g., SCCs for EU/UK data).

10) Confidentiality of Client Materials

We treat grant materials as confidential and use them solely to perform contracted services and quality assurance. We will not disclose your proposals, budgets, or proprietary information to third parties except as authorized by you (e.g., named partners/funders) or required by law. We can execute a Mutual NDA upon request.

11) Third-Party Links

Our site may link to third-party websites or tools. We are not responsible for their privacy practices. Review their policies before providing information.

We may update this Policy from time to time. The “Effective date” above reflects the latest version. Material changes will be posted on this page and, when appropriate, notified via email.
